Upon receiving your deposit payment (or final balance for late bookings), we will start making the booking arrangements for your tour. You will receive a notification email first to let you know we have received your payment and provisional booking request details, and that confirming all services for your tour may take up to 5-7 business days to confirm. In most cases, it will be quicker than this. During peak booking seasons, you may not directly hear from our sales team immediately, but rest assured your booking request has been assigned to one of our adventure specialists and is being actively worked on.
Our local partners
As we mostly use smaller local, typically family-run enterprises on our tours, we do not have access to live availability or the facility to book accommodations and transportation services online. We must directly contact each accommodation, luggage transportation company, and bike rental partner for cycling tours, to make all the arrangements, and we require written confirmation from them on the secured booking reservation. We do not rely on verbal confirmations, after which availability may swiftly change. Our local partners may also have more limited resources to process reservation requests immediately, especially during the peak season, and their staff may perform many different operational duties.
Therefore, with multiple parties involved, the process can take several days before all components of your tour are confirmed.
Limited availability
There may also be limited availability of accommodation or specific room types under which the tour is costed, especially for high season dates or late bookings, and our team may need some extra time to investigate alternative options. In some cases, alternative accommodations of similar standards may need to be considered, or different room types. In such instances, we endeavour to minimise any supplementary costs should they arise; however, it may be necessary to apply a supplement to your tour cost. These supplementary costs will be advised before confirming your booking, to check whether you are happy to proceed.
It is uncommon for a longer period to be required to confirm your tour and, in such cases, our team will send updates on progress, and offer as many details as possible about any specific holdups.
Online travel agents (OTAs)
We do not book accommodation through online travel agents, such as www.booking.com, as we work on very different hotel terms and contracts with our local partners. Like many other tour operators, we design all our tours by contracting specific hotels, and, in most cases, these accommodations offer us competitive and stable contracted rates throughout the entire travel season. These partnerships help us avoid rate volatility found with online travel agent sites, and facilitate us to advertise tour prices much earlier in advance.
Deposit refund
Your deposit is fully refundable if there is no availability or the alternative options are not to your liking. If we cannot confirm your booking within 5 business days after the deposit payment, and you request in writing to cancel your booking request, the booking request will be cancelled, and the deposit will be fully refunded within 7 working days. Once the booking has been confirmed by us, the deposit becomes non-refundable and is subject to our standard booking conditions.
We strongly advise you not to make any non-refundable flight reservations before we have explicitly confirmed your holiday booking.
