We initially require a small amount of personal information from the outset to confirm your tour. Such information is as follows:
- First and last name (as per your passport)
- Contact email and number
- Nationality
- Date of birth
- Any specific dietary requirements or medical conditions
- Heights in centimetres (cycling tours)
This information is for identification and contact purposes for your booking, and to ensure all operational components are secured under your correct details and requirements. In addition to identification purposes, we request your date of birth to ensure you meet the age requirements of our tours.
At a later stage, we usually only require an emergency contact name and number, an emergency contact number for you during the holiday, and your flight details.
Passport details:
Once your tour is confirmed, there may be the need for us to request full passport details at a later stage, and in some cases, a colour scan of your passport page. There are various reasons we request passport details in advance for the respective destination country and operational arrangements for your tour, and below are some of the most common reasons:
- For some destinations in which we operate tours, hotels are required by law to register their guests' passport details within a government database for your protection and theirs. Hotels may also be required to take a scan of your passport upon arrival.
- In certain destinations, we may need to arrange a trekking permit in a specific region or an entrance permit to a national park.
- Within an itinerary, we may need to pre-arrange land, sea or air transportation for you.
- Some of our local ground partners may be required to register client passport details for insurance reasons.

All personal data that is collected and used will be processed in compliance with the General Data Protection Regulation (the “Act” or “GDPR”). Please refer to our Privacy policy for a complete explanation of our safe handling of your data.
Personal details as part of our booking conditions:
You must have a passport that is valid 6 months after the last date of travel with The Natural Adventure as set out on your itinerary.
If you renew your passport, you must advise us of the new details as soon as possible and you may be required to take your old passport with you to maintain the validity of the trip.
